The Administration Director provides administrative and organizational support to the Executive Director, Board members, any of the ED’s direct reports, and provides general office management for the community.

The selected individual must serve as a gatekeeper of information and the ED’s calendar and have the ability to efficiently prioritize information and requests of the ED’s time.

The Administration Director should be a great multi-tasker, a forward-thinking individual that will be proactive rather than reactive, and have the ability to work on executive level projects as assigned by the Executive Director.

RESPONSIBILITIES:

  • Proactively manages the day-to-day activities of the Executive Director and to ensure efficient and effective operations. Includes coordinating office work flow with key personnel and all departments to ensure the proper and timely completion of work.
  • Provides administrative support to the ED, including but not limited to drafting, sending and receiving correspondence.
  • Effectively manage a variety of special projects for the ED, including projects which may have organization impact.
  • Schedule, confirm, and arrange routine and complex meetings and appointments for ED, and other key personnel as necessary. Keep updated calendars for ED using Outlook.
  • Provide administrative support to Board of Directors and committees as directed by ED. Draft monthly meeting agendas for review; assemble and distribute supporting materials. Attend meetings; records and distributes meeting minutes.
  • Coordinates Full Staff Meeting, including securing speakers, drafting agendas for approval by ED, notifying staff, and maintaining meeting records.
  • Responds to incoming requests for ED speaking engagements or other community activities.
  • Reviews outgoing materials and correspondence for consistency and conformance with procedures. Ensure that proper clearances have been obtained when needed.
  • Designs and produces company materials such as flyers and invitations as needed.
  • Provides back-up at front desk for phone coverage and other responsibilities when needed.
  • Provides administrative and project management support to other Executive Staff, as well as other duties assigned by the ED.

QUALIFICATIONS:

  • Bachelor’s degree strongly preferred.
  • Minimum five years responsible administrative-clerical experience, which requires two to three years of experience providing executive-level administrative support to a Executive Director or CEO.
  • Experience in non-profit or social services environment is preferred.
  • Skilled in use of Microsoft Windows, Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, Google Apps, and relational databases.
  • Excellent written and oral communication skills and ability to show good judgment and tact in dealings with people from all walks of life.
  • Ability to develop and maintain relationships with a customer service focus while setting boundaries.
  • Ability to work independently on complex and confidential administrative tasks. Must be able to maintain confidentiality of privileged and sensitive personnel and client related material.
  • Proficient with office communication equipment and machines (telephone, copier, adding machine, fax machine, personal computer, computer printer and scanner).

Must demonstrate excellent attention to detail and excellent organizational skills.
